V Encuentro Proceedings and Conclusions

Proceedings and Conclusions of the V National Encuentro of Hispanic/Latino Ministry | 165 Appendix A • Joe Citro was selected as the Development Coordinator, whose responsibilities included inviting Padrinos and Catholic foundations to support various aspects of the V Encuentro process, including the budget for the National Team itself, scholarships for diocesan del- egates to the National Event, monies required to carry out key aspects of the process at every level, and the development of relationships with exhibitors and sponsors for the V Encuentro National Event. • Oscar Carranza served as the Coordinator of Registration and Logistics, and his responsi- bilities included the development and oversight of the online registration process; ensuring that all requirements for credentialing delegates and other participants were met; overseeing logistical requirements for every aspect of the program; and serving as the point of contact for the host diocese, the Gaylord Texan Convention Center staff, and the production crew. Prior to contracting the four National Team consultants, ENAVE was the lead group engaged in developing and resourcing both the V Encuentro process and the trainings required to form leaders for its implementation. After the National Team was formed, ENAVE continued to play a critical role in the assessment and continuing development of tools and resources for the pro- cess at every level. In addition, the USCCB staff became deeply involved in an unprecedented way in the preparations for the V Encuentro National Event—every USCCB department was represented and 87 staff were on site for the celebration in Grapevine, Texas. The preparations for the National Event were organized as a collaboration of USCCB staff and ENAVE, with the following eight teams created to manage key aspects: • Communications and Marketing. Headed by Judy Keane and Dr. Patricia Jiménez , this team was responsible for media relations; coordinating the program in print, on the website, and in the mobile app; live streaming of main stage programming; social media; and market- ing and promotion. • Program. The program team was led by Paul Jarzembowski and Ken Johnson-Mondragón , and it contracted main stage speakers and developed the schedule, Working Document, and evaluation. • Registration and Logistics. Amy Newlon, Robert Yates, and Oscar Carranza had oversight for this team. Registration took place in three steps: registration of approved delegates by the diocesan chair; completion of the registration survey and provision of registration bar- codes to each delegate or participant; and on-site registration. Logistics included coordinat- ing housing, breakout rooms, security, transportation, audio-visual production and equip- ment for all sessions, and meals, as well as the general flow of the operational plan.
